Inventory management

Retail inventory management software built on a stock ledger

PointLit manages a shop's inventory as an append-only stock ledger. Every sale, delivery, transfer, adjustment and count is one line that can never be edited or deleted, and stock on hand is worked out from those lines. Each item has a stock card, stock is kept per branch, and products come in sizes and colours.

A stock ledger that never forgets

Most stock arguments start with a number someone typed over. In PointLit nobody can. Every movement of stock is written as one line in a ledger, and the database itself refuses to change or delete a line once it is written. A sale takes stock out, a goods receipt brings it in, a transfer moves it between branches, a count adjusts it. Stock on hand is the result of those lines, not a figure anyone edits.

A mistake is corrected the way an accountant corrects one: with a new line that reverses it. That feels slower the first time and pays for itself the first time a figure is questioned, because the answer is always a line with a date, a document and a name.

The stock card: every movement of one item

The Stock movements report, filtered to one item, is that item's stock card (in Egypt often called كارت الصنف or حركة الصنف). Each line shows When, the Event, the Direction, the Quantity, the Branch, the Other branch for a transfer, the Document it came from, the Unit cost and By whom. Events include Sale, Customer return, Goods received, Returned to supplier, Transfer in, Transfer out, Count adjustment and Adjustment, so a shelf that keeps coming up short can be traced to the exact day it went wrong. Read the stock card and item movement guide.

The stock movements report for one variant, a white linen shirt in size M: each sale, transfer and receipt with its date, branch, quantity and unit cost.

Sizes and colours without a spreadsheet

A clothing or shoe shop sells one model in many sizes and colours. In PointLit you create the product once: name it, pick what it varies by, and fill the grid. Each size and colour becomes its own variant with its own stock, and colours carry swatches so the cashier picks the right one at a glance. The Size curve report then shows which sizes actually sell, so the next order follows the customers rather than habit.

The product builder: colour chips from White to Charcoal, sizes S to XL, and three colours by four sizes making 12 variants.

Stock for every branch

Stock is held per branch, and every movement names the branch it happened in. At the till, Where else is this? shows the same item at your other branches while the till is online, so a customer asking for a size you have run out of can be sent to the right shop. In the back office, reports show stock on hand at the end of any day, stock valuation, stock ageing and low stock, and reorder points per branch tell the reports when an item needs refilling.

How it works in PointLit

  1. In Products, choose New product, name it, pick what it varies by (for example size and colour) and fill the grid.
  2. Book deliveries in Goods receipts. Each line is written to the ledger at the branch you received into.
  3. Sell at the till. Every sale writes its own lines to the same ledger.
  4. Write off breakage or record found stock in Stock adjustments. A Reason is required.
  5. Open Reports, then Stock movements, and filter to one item to read its stock card.

Questions and answers

What is a stock card?
A stock card (كارت الصنف) is the full history of one item: every quantity that came in or went out, when, why and by whom. In PointLit it is the Stock movements report filtered to that item, and because the ledger behind it cannot be edited, the history it shows is the one that actually happened.
Can I just change a stock quantity?
Not by typing over it. You record a stock adjustment with a reason, such as breakage or found stock, or you run a stock count and post its differences. Either way a new line is added to the ledger, so the change is visible on the item's stock card with the date and the person who made it.
Can I import my products from Excel?
Not yet. There is no self-service importer in PointLit today. If you are moving from a notebook or a spreadsheet, write to support@pointlit.com with roughly how many products you have and whether they come in sizes and colours, and we will work out with you the quickest way to get your products, prices and opening stock in.
Is PointLit an accounting system as well?
No. PointLit keeps stock, sales, supplier and customer balances, expenses and a net profit report, but it has no general ledger, chart of accounts or balance sheet. Most shops keep their accountant and their accounting software, and give the accountant PointLit's reports, which export to CSV and Excel.
