Suppliers and receiving

Supplier management and receiving stock, from delivery note to payment

PointLit records each delivery as a goods receipt against a supplier and a branch, which adds the stock and updates your average cost. Supplier returns use the same screen. Every supplier has a statement of what you owe and when it is due, and the Suggested purchases report lists what to buy next. Purchase-order documents are not available yet.

Receiving a delivery: the goods receipt

Work from the supplier's paperwork and record what actually arrived, not what was ordered. In Goods receipts you pick the supplier, leave the type as Receipt, put the delivery note or invoice number in Reference, and add a line per item with its quantity and Unit cost. Posting writes those lines to the stock ledger at the branch named at the top of the screen.

Every receipt also updates the item's cost: PointLit keeps a moving-average cost for the whole business, so your margins and stock value follow what you actually paid. The receipt can be printed as a supplier copy or saved as PDF, and its items can go straight to the label basket so every piece gets a price label.

Recording a goods receipt from a supplier at the main warehouse: two lines with quantity and unit cost, on the supplier's 30-day credit terms.

Sending stock back: supplier returns

A return to a supplier is the same screen with the type set to Return. It takes the stock out of the branch and is recorded against the same supplier, so what you sent back sits in the same history as what they sent you, and it lowers what you owe them. Damaged goods a supplier will not take back are a stock adjustment instead, because nothing is leaving the building.

What you owe each supplier

Each supplier has payment terms and credit days. A posted delivery becomes an amount owed with a due date, a return reduces it, and Record payment on the supplier's page logs money you paid. The supplier's Statement tab shows every line in order. Across all suppliers, the Amounts owed to suppliers by age report shows what is due now and what is overdue, and Supplier payments and Supplier performance show the rest of the relationship.

Suggested purchases: what to buy next

Set Reorder points per branch for the items you never want to run out of. When stock at a branch falls to its reorder point, the Suggested purchases report lists what To buy, grouped by Supplier, with the Last price, an Estimated cost, and the supplier's Terms and Credit days. You can print it or read it out to the supplier on the phone, because PointLit does not produce purchase-order documents yet.

How it works in PointLit

  1. In Suppliers, add each supplier once with their terms.
  2. When a delivery arrives, open Goods receipts, check the branch at the top, pick the supplier and leave the type as Receipt.
  3. Type the supplier's delivery note or invoice number in Reference, add each item with its quantity and Unit cost, and post it.
  4. To send goods back, use the same screen with the type set to Return.
  5. Pay the supplier and choose Record payment on their page, so the statement stays true.

Questions and answers

Can PointLit create purchase orders?
Not yet. PointLit records what arrives (goods receipts), what goes back (supplier returns) and what you owe, but it does not produce purchase-order documents to send to a supplier. The Suggested purchases report lists what to buy, per supplier and branch, with the last price you paid, and it can serve as your order list in the meantime.
What if the delivery does not match the invoice?
Record what actually arrived, and keep the invoice number in Reference so the two can be matched later. If a receipt is posted with a mistake, it is not edited: you record an opposite document that cancels the wrong lines, then the correct one. The supplier's statement and the item's stock card both show the full story.
Does receiving stock update my cost price?
Yes. Each goods receipt updates the item's moving-average cost from the Unit cost you enter, so stock value and margin reports follow what you actually paid. A cashier never sees those costs unless their role has the permission to view product costs, stock value and margins.
How do I see what I owe my suppliers?
Open a supplier and read the Statement tab for every delivery, return and payment in order. For all suppliers at once, the Amounts owed to suppliers by age report shows what is due and what is overdue, using each supplier's terms and credit days. Both export to CSV and Excel.
