Delivery-app orders: entering, cooking and handing over app orders

Incoming orders brings orders from delivery apps onto the till: each one goes to the kitchen when it is accepted and is followed until the courier picks it up.

It is part of Restaurant and café and has its own switch, Orders from delivery apps, in Restaurant settings. Today an order from Talabat, elmenus or Mrsool is typed in at the till from the app's own tablet: PointLit is not connected to Talabat directly yet. A partner's own system can send orders through PointLit's API on paid plans.

Set up the apps

  1. Open Manage, then Restaurant settings, switch on Orders from delivery apps, and press Save.
  2. Open Manage, then Incoming orders, then Connections. Choose the shop, and press Add the app for each app the shop takes orders from: Talabat, elmenus, Mrsool or another app.
  3. Give each app the name the till shows, its default prep time (20 minutes as standard) and, if you keep one, the app's customer account, so a picked-up order goes on it.
  4. Orders you type in as Other need no app set up.

Enter an order from the app's tablet

  1. On the till or a waiter's phone, open the orders and press Enter an app order.
  2. Choose the app and type its order number, the customer's first name and, if you want, a phone number. The phone number is cleared 24 hours after the order closes.
  3. Choose Delivery or Takeaway, then search your products and add each one with its quantity and a note for the kitchen if needed.
  4. Choose the prep time and press Save and send to kitchen. The order is saved already accepted: its check opens and the till prints the kitchen tickets.
  5. The same app's order number cannot be entered twice on the same business day, so an order is never typed in twice by mistake.

Accept or reject an order

An order that a partner sends arrives under New with a sound, on the till and on the waiters' phones. It waits for a person. Accept shows the prep time (10, 15, 20, 30 or 45 minutes, or the app's default); press Accept with the minutes and the check opens and goes to the kitchen. Reject asks why, with one tap: Too busy, An item is unavailable (and which item), Closed now, Menu or account settings, Technical problem, or Other reason, where you type the words the app will see.

An item that is not on your menu must be matched first. Press Not on your menu: map it, choose which of your products it is, tick Remember for every order of that app, and press Save the mapping. The order shows the app's total beside PointLit's total at your prices for that app, and both are kept on the order.

Orders list and Orders board

  • Orders list shows New and Accepted, oldest first.
  • Orders board shows four columns, New, Preparing, Ready and Picked up, and each card shows its next step.
  • Each till and phone remembers the view you chose, and the sound can be switched on or off there.
  • Press Mark ready when the food is ready, and Picked up when the courier takes it.

Picked up and the payment

Picked up closes the order. If the app has a customer account set in Connections and your plan includes customer accounts, the check goes on the app's account by itself, and the app's payouts are recorded as payments on that account. Otherwise staff choose how the money came in, Cash, Card or Bank transfer, and the check is paid that way.

History and menu mapping

In Manage, Incoming orders has three tabs. Orders history lists a day's orders by app and status, with both totals and how each was paid. Menu mapping lists each app item beside the product it is matched to; you can change it or remove the match. Connections holds each app's settings. Who can accept, reject and hand over app orders is set by role: check the delivery-app orders permission in Roles.

Partners and Talabat

A delivery partner or ordering website with its own system can send orders into PointLit through the API on paid plans. Those orders arrive under New and wait for Accept like any other.

The direct connection to Talabat is built and switched off until Talabat gives access. Until then, type Talabat orders in from the tablet. Import the app's menu and Send our menu wait for the same access; meanwhile, map items as orders bring them.

Questions and answers

Is PointLit connected to Talabat?
Not yet. The direct connection waits for Talabat's approval. Today you type each Talabat order in at the till from the Talabat tablet, and it goes to the kitchen at once.
Can orders be accepted automatically?
No. Every order a partner sends waits for a person to press Accept, so its kitchen tickets always print. An order you type in yourself is saved already accepted.
Do delivery-app orders show on the order-ready screen?
No. The order-ready screen is for counter and takeaway customers in the shop. Couriers look for the app's own order number, which the till shows on each order.
How long does PointLit keep the app customer's details?
The customer's name and phone number, as the app sent them, are cleared 24 hours after the order closes.
