Exporting your data: reports to Excel, CSV and PDF
To export your data from PointLit, open a report under Manage, then Reports, press Export and choose CSV file, Excel file or Print or save as PDF. The file holds the whole report with your filters. Reports can also be emailed on a schedule, and a developer can read your data through the partner API.
An export follows the same permissions as the report screen, so a role that cannot see product costs gets a file without them. Each export appears in the Audit log as Report exported, with the name of who made it.
Export a report to Excel, CSV or PDF
- Open Manage, then Reports, and open a report: Sales journal for every sale line and return, or Product list for each variant's barcode, price and stock at each branch.
- Set the period and filters. The file holds everything the report shows, not only the rows on screen, up to 100,000 rows; a longer file says it is partial.
- Press Export. CSV file and Excel file download at once; Print or save as PDF opens an A4 page in the print dialog, where you can save it as a PDF.
- The file is in the language you use PointLit in, so an Arabic screen gives Arabic column headings.
Email reports on a schedule
This needs the permission Schedule reports to be emailed, which the Owner and Manager hold as standard.
- On the Reports screen, open Scheduled reports and press Schedule a report.
- Choose the Report, the Period (such as The last full month), How often and Send at.
- Under Attach, tick CSV file or Excel file, or neither to put the report in the email itself. Pick the Language and press Save.
- Under Recipients, use Add a member, or Add an outside address for your accountant. An outside address confirms by a link first and never receives cost figures or staff names.
Other ways to reach your data
The partner API lets a developer connect PointLit to another system, such as an online store. The Owner creates a token under API tokens, and that system can then read your products, stock, customers and sales. The developer pages document every call, with an OpenAPI file.
An Owner can also connect PointLit to an AI assistant such as Claude or ChatGPT and ask about sales, stock, customers and suppliers. The connection is read-only. For a long answer, the assistant gives a link to the complete report as a CSV or Excel file.
Questions and answers
- Can I import products from an Excel or CSV file?
- Not yet. PointLit has no screen for importing products, prices or stock from a file. If you are moving from another system or a spreadsheet, write to support@pointlit.com and we will work out with you the quickest way to bring your products, prices and opening stock in.
- Will Arabic text open correctly in Excel?
- Yes. Choose Excel file, or CSV file: the CSV starts with a marker telling Excel the text is UTF-8, so Arabic names show as Arabic letters, not symbols.
