The QR menu: guests read the menu and order from their phone
Each table's QR code opens your menu on the guest's phone, and if you allow it, guests send orders that your staff accept before the kitchen sees them.
The QR menu is part of Restaurant and café. You switch it on in Restaurant settings, choose one of five menu designs, and print a card for each table from the floor plan. Guests need no app: the code opens a web page in the phone's browser, in English or Arabic.
Switch on the menu and ordering
- Open Manage, then Restaurant settings, and find Guest ordering by QR code.
- Switch on Guests can see the menu, and choose a Guest menu design. Each design has a picture and a short description beside it.
- To let guests send orders, switch on Guests can order. It needs the menu switched on.
- Leave Only while staff have seated the table on (as standard), so a guest can order only after a member of staff seats the table.
- Set Most items in one guest order (30 as standard) and Largest guest order. Leave either empty for no limit.
- Leave Send guest orders without staff acceptance off if every order should wait for a person. Switched on, it sends a seated table's orders without waiting.
- Press Save.
The five menu designs
- 01 Photo menu: one dish per row with a large picture.
- 02 Quick list: many dishes on one screen, with search, for regulars.
- 03 Card grid: two square photo tiles across, with one Service button for the waiter and the bill.
- 04 Course tabs: the menu split into your courses as tabs. Under Courses on the guest menu, give each category a course; the course names come from Table service.
- 05 Chat order: the menu asks the guest one question at a time, like a messaging app.
The QR code on each table
Each table gets its own code when you save the floor plan. In Floor plan, Print QR cards prints them on an A4 sheet of six or as A6 table tents that stand on the table, for all tables, one area or one table. Replace code makes a new code for a table, and its old card stops working at once, so print the new card straight after. The floor plan article shows each step.
What the guest does
- The guest scans the card on the table, and the menu opens with the table's number at the top.
- They choose a dish, make its required choices, and can write a note for the kitchen.
- In the basket they say who each dish is for: a seat number or To share. A first name is optional.
- They press Send order. The page shows Waiting for staff and updates by itself.
- Once staff accept it, the order is on the table's check. If staff decline it, the guest reads the reason they wrote.
- Call the waiter works at any time. Ask for the bill works once the table is seated.
Accepting orders at the till
The register shows how many orders from the QR menu are waiting and from which tables. Review opens them. Press Accept all, tick some lines and accept only those, or press Decline and type a reason the guest will read. Who may do this is set by role: check the guest orders permission in Roles.
Accepted items go on the table's check marked as coming from the QR menu, and reach the kitchen when staff press Send, like any other item. An order nobody accepts within 15 minutes expires, and the guest is told to ask a member of staff. A call for the waiter or a request for the bill shows on the till until someone presses Done.
What is on the menu
The menu lists every active product the business sells, at the price it has at that table's shop. A product with sizes or flavours shows each one by its own name, with its photo when it has one. When choice groups are switched on, a dish asks for its choices on the guest's phone exactly as it does at the till. If a price changes while a guest's basket is open, the page asks them to check the basket and send it again.
Questions and answers
- Do guests need to download an app?
- No. The QR code opens a web page in the phone's own browser. The guest can switch it between English and Arabic.
- Can guests order before they are seated?
- Not as standard. While Only while staff have seated the table is on, a guest at an empty table can read the menu and call the waiter, and ordering opens once a member of staff seats the table. Switch it off to let guests order at any table.
- What happens if nobody accepts a guest's order?
- It waits 15 minutes and then expires. The guest's page says no one could take the order in time and asks them to speak to a member of staff. Nothing reaches the check or the kitchen.
- How long is a guest's first name kept?
- The first name a guest types on an order is cleared after 24 hours.
